We are looking for event day volunteers for our 2024 Kidney Walk that will be responsible for registering walk participants, set-up/take-down of the event, and route marshaling at Lakeview Park (Lakeview Park Ave, Oshawa ON L1J 7Z9) on September 29th, 2024.

Training: Information including the meeting spot and staff lead will be provided to all volunteers in advance of the event day. Staff members on-site provide additional orientation and training during the event.

BACKGROUND

Simcoe Hall Settlement House was established in 1935 by the Women’s Welfare League, in response to human and health conditions created by the Great Depression of the 1930’s. Over the 85-year history of Simcoe Hall, this non-profit organization has helped tens of thousands of at-risk individuals, living, and working in our community.

Simcoe Hall currently offers the following:
·       A ministry-funded After-School program that provides a safe place for almost 50 children and youth ages 7-13 to participate in active play, receive homework support, and allow access to proper nutrition.  Daily, each child receives a snack and dinner.
·       A Food Bank, one of the largest in Durham Region, addressing the challenge of food security by providing non-perishables and fresh produce to over three thousand individuals a month.  
·       A Senior Program called the Sassy Seniors Club for adults 55 +.  The weekly program offers a variety of activities including bingo, as well as snacks, coffee, and a hot lunch prepared by our cook.  The program gives those attend the opportunity to socialize, spend time with their friends and stay connected. 
·       Seasonal programs such as: New backpacks full of supplies are made available to children, youth, and teens starting school; Provision of food hampers to close to one thousand families and toys to children at Christmas.

SUMMARY

Simcoe Hall is searching for an enthusiastic, driven individual with financial experience to join our volunteer Board of Directors. The Director will have oversight responsibilities for the maintenance of the agency’s financial records following legislation and GAP. This individual will work directly with the board, Executive Director, bookkeeper, and the agency’s auditor. The range of the agency’s operating budget is $800,000 - $1,000,000.

PRIMARY DUTIES AND RESPONSIBILITIES

·       Ensure that effective financial measures, procedures, and controls are in place that are appropriate for the agency to comply and adhere to all regulatory requirements for non-profit organizations.
·      Participate in the development of a draft annual budget and present to the board for approval.
·       Present monthly financial statements to the Board for approval.
·       Monitor the monthly reporting and projected financial statements and advise board of financial related issues.
·       Coordinate with agency’s Auditors regarding preparation of the audited financial statements. Provide oversight to address auditors’ concerns, identify issues and deficiencies.
·       Interact with Executive Director and Bookkeeper regarding monthly financial statements, annual budget, and auditors’ reports.
·       On-going monitoring of financial Policies and Procedures and review with the Board.
·       Serve as a co-signer of cheques with at least one other signing Officer.

Key Responsibilities:

- Greet and assist patrons with a friendly and non-judgmental approach, offering guidance on available services.

- Distribute basic necessities such as food, hygiene products, and clothing.

- Support resource organization and maintenance in the HUB, including restocking and cleanliness.

Specific Job Duties:

  • Attend Committee meetings and actively participate.
  • Have experience with event planning
  • Accept assignments and tasks that ensure the committee's objectives are met.
  • Gather/share information about potential donors, guests, and sponsors, and build the list through personal and professional networks.
  • Assess current attendee and sponsor lists and identify gaps in various networks.
  • Create an ongoing list of attendee and sponsor prospects that fit the previously identified gaps.
  • Support the organization to achieve the fundraising goals by securing corporate sponsorships and in-kind donations for the silent/live auction.
  • Invites individuals and prospects to attend.
  • Attend events and help by welcoming and networking with guests.
  • Additional duties may be requested by the Committee Chair.

You are expected to stay informed, ask questions, and participate in discussion, decision-making, and implementation of committee activities.

Volunteers attending the Uxbridge Farmers' Market front entrance are responsible for:

  • welcoming guests to the market
  • tracking # of entrants (using handheld counter device)
  • handing out raffle tickets
  • informing guests of any special events/demos taking place
  • assisting with basic setup/cleanup

Uxbridge Farmers' Market

The Uxbridge Farmers' Market offers a variety of interactive programming for kids to enjoy while their families shop at the market. These include but are not limited to sensory play tables, colouring sheets, scavenger hunts, and simple arts and crafts. Volunteers attending the Kids' Zone are responsible for:

  • hyping up the Kids' Zone area
  • welcoming kids and families over
  • encouraging kids to participate
  • offering simple instruction and low-level support for kids' activities 
  • assisting with basic setup/cleanup

The Uxbridge Farmers' Market runs 9 a.m. to 2 p.m. every Sunday rain or shine - volunteers must dress for the weather as the market is outdoors. 

The Kids' Zone is NOT a daycare service and children are not to be left in the care of the Kids' Zone Volunteer.

Parkrun Canada

Our weekly event requires:  A Marshall - to help direct the runners at turnpoionts

A Timer - will need a smartphone and be able to download the timing app which will be used to time the prticipants for their 5K wlak/run/jog

A scanner - will need a smartphone to use the app to scan barcodes at the end of the event

A tailwalker - will be walking the course, following the last participant. Will act as course 'sweep' as well as pick up signage.
